Bookings and Bookings Cancellations Policy

1.    Our Contract
a.    If you are a consumer (i.e. not dealing as a business with us), Holme Pierrepont Country Park, home of the National Water Sports Centre sells all facilities to you subject to these terms.
b.    A contract is formed between you and Holme Pierrepont Country Park, home of the National Water Sports Centre when we issue you with a Booking Confirmation for the facilities and activities you have booked. No Booking shall be binding on Holme Pierrepont Country Park, home of the National Water Sports Centre until you receive your Booking Confirmation. The contract is your Booking Confirmation together with these terms and conditions.

2.    Booking
a.    The Hirer should state its requirements by e-mail as accurately as possible including dates and times for which facilities are required. Holme Pierrepont Country Park makes no guarantees as to the availability of facilities until your booking is confirmed by Holme Pierrepont Country Park, home of the National Water Sports Centre
b.    Bookings made on behalf of a third party must be declared at the time of the booking.
c.    The booking and all details thereof (i.e. conference attendee numbers, catering numbers, room layout etc.) should be finalised fourteen days prior to the commencement of the event failing which Holme Pierrepont Country Park will provide numbers and facilities as outlined in the original requirements and the hirer shall not be entitled to any reduction or reimbursement of the charges
d.    You cannot transfer or sell your booking (in whole or in part). If you transfer or resell (or attempt to transfer or resell) we can terminate your booking and retain any money paid to us for such Booking. We may also refuse to take any further booking from you in the future
e.    You may make a booking on someone else’s behalf. It remains the responsibility of the person making the booking to ensure all guests comply with these terms and conditions as if that customer had made the booking.
f.    You can only make a booking if you are 18 years old or over. 
g.    You must ensure that the name on a booking is correct at the time of booking
h.    If you make a Group Booking the following additional terms also apply to you:
i.    If you book 28 days or less before the scheduled date of arrival, you must pay in full when you make the booking unless credit from the Holme Pierrepont Country Park has been offered.
ii.    If you book more than 28 days before the scheduled date of arrival, you may have to pay a 30% deposit when you make the booking. You must settle any balance at least 30 days before the scheduled date of arrival. We may cancel your booking if you do not make any payment when it is due and we will not refund the deposit
i.    No provisional bookings are accepted
j.    There is a booking fee of £4 for all bookings made that is non-refundable

3.    Rates and Payment
a.    The rate(s) for our facilities are as published on our website or in the case of a telephone booking as advised to you at the time of booking
b.    Full payment will be taken for the facilities you have booked at the time of booking, unless alternative payment has been agreed at the time of booking
c.    Holme Pierrepont Country Park reserves the right to request payment of a 30% non-refundable deposit against the facilities booked which will be payable by the hirer upon booking
d.    If credit facilities have been granted, the hirer will pay the full amount of the booking fourteen days prior to the event date
e.    Holme Pierrepont Country Park reserve the right to increase charges having given the hirer reasonable notice in writing
f.    Holme Pierrepont Country Park reserve the right to charge interest at 4% a month on overdue payments
 
4.    Cancellation or No Shows
a.    All cancellations must be done via e-mail to info.nwsc@serco.com we will not accept cancellations by telephone
b.    No refunds will be given due to bad weather
c.    For accommodation bookings for four people or less
i.    No refunds will be given if you cancel your booking unless you give us a minimum of seven days’ notice prior to your scheduled date of arrival
d.    For accommodation bookings for five to fifteen people
i.    No refunds will be given if you cancel your booking unless you give us a minimum of fourteen days’ notice prior to your scheduled date of arrival
e.    For accommodation bookings for fifteen people or more
i.    No refunds will be given if you cancel your booking unless you give us a minimum of twenty-one days’ notice prior to your scheduled date of arrival
f.    Bookings to incorporate meeting rooms, conference rooms, accommodation, activities, catering and water use
i.    30 – 15 days prior to the arrival date for your booking you will be charged 50% of the booking cost
ii.    14 – 0 days prior to the arrival date for your booking you will be charged 100% of the booking cost
g.    For all bookings relating to the Campsite
i.    No refund will be given if you cancel your booking unless you give a minimum of seven days’ notice prior to your scheduled date of arrival 
h.    No refunds or credit notes will be issued if No Shows for meeting rooms, conference rooms, accommodation, activities and catering 
i.    No refunds will be given for any activity that is cancelled 14 days or less to the event date
j.    Holme Pierrepont Country Park reserves the right to cancel or alter a booking
i.    Due to circumstances beyond the reasonable control of Holme Pierrepont Country Park
ii.    Where in reasonable opinion of Holme Pierrepont Country Park, any of the facilities are unfit for use and/or it is necessary to perform or complete essential remedial or refurbishment; or if the hirer is in breach of contract
iii.    In such event Holme Pierrepont Country Park will return to the hirer the charges paid by the hirer in respect of the booking up to that date but Holme Pierrepont Country Park shall not otherwise be liable for any loss arising in connection with the alteration or cancellation of the booking. The hirer may wish to take out insurance in respect of such circumstances
k.    Holme Pierrepont Country Park reserves the right to suspend or cancel an activity at any time in the event of an activity being unsafe to operate.  This may be due to adverse weather conditions, environment agency advise and equipment failure.  Holme Pierrepont Country Park is not responsible for any other costs however so incurred by the person making this booking or any other individuals
l.    Holme Pierrepont Country Park reserves the right to refuse any participant access to any activity should they be wearing unsuitable clothing or at the sole discretion of the activity instructor deemed to be unsafe to participate.  In such instances no refunds will be given.

5.    To Amend Your Booking
a.    All bookings are subject to availability at the time of amendment
b.    All booking amendments are to be made by e-mail to info.nwsc@serco.com 
c.    The person who made the original booking can reduce their booking requirements if they are outside the stated cancellation terms and conditions mentioned under clause 4 

6.    Accommodation Specific Terms and Conditions
a.    Check-In and Check Out
i.    Check-in from 16:00 on the scheduled date of arrival.  For an earlier check-in, the customer will need to pre-book an early check-in at the time of booking subject to availability and is subject to an additional cost
ii.    Check Out is at 10:00 on the scheduled date of departure. For a later check out, the customer will need to pre-book a late check out at the time of booking subject to availability and is subject to an additional cost
iii.    Early Check-In Rates
1.    Check in from 14:00 on the date of arrival at £10.00 per room
2.    Check in from 09:00 on the date of arrival at £35.00 per room
iv.    Late Check-Out Rates
1.    Check out before 12:00 on the date of departure at £10.00 per room
2.    Check out before 16:00 on the date of departure at £35.00 per room
b.    Rooms
i.    Visitors are not permitted in the hotel after 22:00
ii.    The maximum occupancy for rooms are
1.    Single Room = 1 person
2.    Twin Room = 2 persons
iii.    Room occupancy must not exceed the stated maximum occupancy of the room.  If anyone is found to have additional people staying in their room, we will terminate your booking without refund and require you to leave the hotel immediately
iv.    Parents/Carers/Coaches must not leave any person under the age of 18 years of age unattended in any rooms or public areas at any time
v.    Holme Pierrepont Country Park prohibits smoking in any indoor space.  If anyone is caught smoking in any building, we will terminate your booking without refund and require you to leave the hotel immediately.  You authorise us to charge you any costs we incur if you smoke or cause damage in our hotel including costs for specialist cleaning (to make the room fit for sale as a non-smoking environment) and the cost of the room for any period it is unusable.  You authorise us to charge this amount to the payment card used in your booking. We will send you (at the address on the booking) a breakdown of these charges within ten working days.  We may refuse to accept any bookings from you in the future
vi.    The booker must make good at their own cost any damage (save for fair wear and tear) caused during or in respect of the hire period as well as any costs incurred by us
vii.    We provide wheelchair accessible and limited mobility.  The booker must specify this requirement at the time of booking 

7.    Activity Specific Terms and Conditions
a.    General
i.    All participants under the age of 18 years of age must have a signed Medical Declaration and Parental Consent Form and handed in to the lead instructor of the session/activity
ii.    All participants must adhere to all instructions given by the activity/session instructor
iii.    It is the bookers responsibility to contact Holme Pierrepont Country Park to check on current weather and operational conditions prior to travelling
iv.    All participants under the age of 18 years of age must be accompanied by a responsible adult over the age of 21 years or a parent
v.    For all water activities participants must be able to fit in a buoyancy aid provided by Holme Pierrepont Country Park
vi.    Pregnant women are not allowed to participate in any activity we provide
vii.    Any person under the influence of drugs and alcohol will not be permitted to participate in the activities.  If anyone is found under the influence, then they will be refused participation in any activity without refund
b.    White Water Rafting and White Water Tubing: all participants
i.    Must be able to swim
ii.    Must be 14 years of age or older
iii.    Must be 18 stone or under
iv.    Must have a chest size less than 48 inches
c.    Kayaking, Canoeing, Sailing, Raft Building, Rowing, Stand Up Paddle Boarding and X-Runner Adventure Course: all participants
i.    Must be able to swim
ii.    Must be 8 years of age or older
d.    E-Combat and Mini E-Combat
i.    Must be 8 years of age or over
e.    RYA Sailing Courses
i.    Youth Sailing Stage 1, 2,3 and 4 Courses
1.    For participants aged between 8 and 16 years of age
2.    Participants must be able to swim
ii.    RYA Sailing Level 1 and Level 2
1.    Participants must be over the age 16 years
iii.    RYA Power Boat Level 1
1.    Participants to be aged between 14 and 16 years of age
iv.    RYA Power Boat Level 2 and Safety Boat Course
1.    Participants to be aged 16 years and over
2.    Participants must be able to swim
f.    British Canoe Courses
i.    British Canoe 1 Star
1.    Participants must be 14 years or over
2.    Participants must be able to swim
ii.    British Canoe 2 Star
1.    Participants must be 14 years or over
2.    Participants must be able to swim
iii.    Raft Guide Instructor Level 1
1.    Participants must be 16 years of age or over

h.    Super Stars Activity Day, School Activity Days and Youth Groups
i.    Participants must be 8 years or over

j.    Wake Board Park: all participants
i.    Must be 8 years of age or over
ii.    Must be 18 stone or under
iii.    Must fit buoyancy aids provided by Holme Pierrepont Country Park
k.    Sky Trial
i.    Participants must be 2 years or over
ii.    Participants must be over 1m in height and accompanied by an adult for the first level only
iii.    Participants must be over 1.2m or over for both levels
iv.    Trainers must be worn by all participants
l.    Sky Tykes
i.    Participants must be two years’ old
ii.    Participants must be able to walk
iii.    Trainers must be worn by all participants

8.    Conference and Meeting Rooms Specific Terms and Conditions
a.    The hirer, their staff, agents and visitors must only use the facilities for the purposes, as specified in the contract
b.    The hirer must not permit the numbers of persons specified on the booking form to increase without the prior written agreement of Holme Pierrepont Country Park
c.    The hirer must make good at their own cost any damage (save for fair wear and tear) caused during or in respect of the hire period
d.    The hirer and their contractors, staff, agents and visitors must not use the facilities or act in any way which will cause any nuisance, damage, disturbance, annoyance, inconvenience or interference to any adjoining or neighbouring property or to the owners, occupiers or user of such of such adjoining or neighbourhood property
e.    In the event of damage to equipment through neglect or misuse the Holme Pierrepont Country Park will charge for repairs/replacements at retail price plus 20%
f.    The hirer will observe and adhere to and insure that their contractors, staff, agents and visitors observe and adhere to all regulations, codes of practice and instructions issued by Holme Pierrepont Country Park
g.    Holme Pierrepont Country Park reserves all its rights other than those expressly granted by the terms and conditions.  The hirer shall not make or broadcast music at the event nor grant any broadcast (sound or television) or filming rights without prior written consent of Holme Pierrepont Country Park 

9.    Campsite Specific Terms and Conditions
a.    There must be a minimum of one adult over the age of 21 years per booking
b.    Guests must adhere to the maximum capacity levels for the facilities booked
i.    Camping Pitch
1.    Standard booking allows for two adults and two children
2.    We can have a maximum of eight people per pitch.  Additional persons will be charged £3.50 per child per night and/or £5.00 per adult per night
ii.    Camping Pods
1.    One adult and two children
2.    Two adults and one child
3.    Two adults
iii.    Tipi’s
1.    Maximum of four people
iv.    Touring Caravans
1.    Must not be occupied by more people than is consistent with the number of sleeping births
c.    We do not accept commercial vehicles and use of the touring and tent fields are available to holiday makers only.
d.    Check In and Out Times
i.    Camping Pitches
1.    Check in from 09:00 on the date of arrival
2.    Check out before 18:00 on the date of departure
ii.    Arches and Tipi’s
1.    Check in from 16:00 on the date of arrival
2.    Check out before 12:00 on the date of departure
iii.    All visitors are required to report to the Campsite Shop on the day of arrival.  If the shop is closed then report to the Lakeside Reception
iv.    All tourers and tents are required to park on their allocated pitch as directed for the duration of their stay
v.    One car may be parked at the side of the unit, subject to ground conditions and is included within your normal charge.  Sleeping in cars is prohibited.
e.    During your stay
i.    Waste buckets must be emptied regularly and only at the points provided
ii.    Refuse sacks must be disposed of at the collection points
iii.    For the safety of children, a speed limit of 10mph is imposed throughout the park and this must be strictly observed.  The Highway Code for public roads applies to all vehicles on the park and this includes drink driving laws
iv.    No excessive noise after 21:30 and keep noise levels to a minimum after 22:30.  Any one creating a disturbance or whose conduct could give offence to others will be required to leave immediately and no refund will be given.  In the case of group bookings all parties will be required to leave
v.    The playing of ball games or flying kites must be conducted on the recreation area provided, not between pitches
vi.    Generators are not permitted on the Campsite
vii.    The use of anti-social toys, such as bb guns, electric or motorised scooter/toys etc. is prohibited
f.    Dogs
i.    Dogs are not allowed in the accommodation units
ii.    Dogs must be kept on leads and supervised at all times
iii.    Fouling must be cleaned up immediately

10.    Holme Pierrepont Country Park Voucher Specific Terms and Conditions
a.    Once a Holme Pierrepont Country Park voucher has been purchased no refunds can be given
b.    If a Holme Pierrepont Country Park Voucher is out of date and is within one month of the expiry date then the voucher can be extended for another year at a cost of £15.00 per voucher.  Once the voucher is more than one month past the expiry date then the voucher will be void with no extension or refund available
c.    To extend a Holme Pierrepont Country Park voucher before the expiry date, it is £10.00 per voucher.  This will extend the voucher for another year
d.    Holme Pierrepont Country Park vouchers can be extended once only
e.    If you have booked any of our facilities with a Holme Pierrepont Country Park Voucher and we have to cancel your session you are only entitled to re-book your session.  No refund will be offered
f.    Facilities should be booked and used prior to the voucher expiry date
g.    The voucher must be used in one transaction, change is not given in money or voucher

11.    General
a.    Statutory Rights: we have tried to ensure that any rights that you as a consumer have that are implied by law into a contract of this type (statutory rights) are not excluded or limited in anyway. If any of these terms conflict with statutory right or the law changes and your statutory rights change, then the statutory rights will prevail over these terms.  For more information on your statutory rights see www.consumerdirect.gov.uk 
b.    Events beyond our reasonable control: we shall not be in breach of these terms, nor liable for any failure to perform any of our obligations in relation to your booking (such as the provision of room(s) and/or other products and/or services and/or extras) due to any adverse event, act, omission or accident which happens which is beyond our reasonable control including, but not limited to, flood, earthquake, extreme adverse weather conditions, natural disasters, other acts of God, acts of terrorism/war, interruption or fire (except by way of our default) or failure of (except by way of our default) electrical power, gas, water or other utility service, plant machinery, computers, vehicles or any collapse of building structures
c.    Our Liability: Holme Pierrepont Country Park does not accept any liability for lost or damaged items however so caused.  Nothing in these terms shall exclude or limit our liability for fraud or death or personal injury caused by our negligence or any other matter which it would be illegal for us to (or attempt to) exclude or limit
d.    Third Party Rights: a party which is not a party to our contract shall have no right to enforce any term under the contracts (Right of Third Parties act 1999)
e.    Law: These terms are governed by the laws of England and Wales
f.    Variation: We reserve the right to change these terms from time to time.  The terms applicable to your booking are those in force on the date of your booking. 
g.    Waiver: Failure to exercise, or any delay in exercising, any right or remedy provided under the contract by law to us shall not constitute a waiver of that (or any other) right or remedy, nor shall it preclude or restrict any further exercise of that (or any other) right or remedy
h.    Severance: if any provision of the contract (or part of any provision) is found by a court to be invalid, illegal or unenforceable, that provision shall, to the extent required be deemed not to form part of this contract, and the validity and enforceability of this contract shall not be affected

12.    Events Beyond our Control
a.    We shall not be in breach of contract of these terms, nor liable for any failure to perform any of our obligations in relation to your booking (such as the provisions of room(s) and/or other products and/or services and/or extras) due to any adverse event, act, omission or accident which happens which is beyond our reasonable control including, but not limited to, flood, earthquake, extreme adverse weather conditions, natural disasters, other acts of God, acts of terrorism/war, interruption or fire (except by way of our default) or failure of (except by way of our default) electrical power, gas, water or other utility service, plant machinery, computers, vehicles or any collapse of building structures

13.    Car Parking
a.    Is £2 per car per day
b.    On event days’ car parking starts from £5 per car per day and may increase on event requirements
14.    Questions and/or Complaints
